NinjaOne SaaS Backup: Adding, Removing, or Transferring Organizations

This article explains how to add, remove, suspend, or transfer an organization in NinjaOne SaaS Backup.

Description

Organizations in NinjaOne SaaS Backup are companies or individuals who back up their data through partners. NinjaOne SaaS backup allows you to add, suspend, unsubscribe, delete, or transfer an organization to a different partner. Click the links below for information on each procedure:

Create a New Organization

Follow these steps to create a new organization in NinjaOne SaaS Backup.

  1. In the NinjaOne SaaS Backup partner portal, navigate to the Organizations page.
  2. Click + New Organization.
  3. Complete all required fields.
  4. Click Save.
    • The success alert will appear when you have completed the process.
    • An error alert will display if there is an empty field or if you entered an already existing email address or business name.

Here are the components of the Create New Organization page:

  • First Name: The first name of the organization contact.
  • Last Name: The last name of the organization's contact.
  • Email address: This email address must be unique. You cannot input the same email address more than once.
  • Country: Select from the available options. The default value for the country will follow the master/sub-partner's country.
  • Select Partner: This will be the partner to which the organization belongs.
  • Select Plan: Choose the appropriate plan from the drop-down menu.
  • Organization name: A non-personal name that refers to the official name of the organization. This name won't appear if you select the personal plan because the organization name for the personal plan will be filled out automatically by the system.
  • Auto License: This feature allows the organization to add new backups without worrying about seating capacity. This option appears when you choose a backup or archiver plan.
  • Number of seats: Will appear when you are disabling the auto license.
  • Send sign in: If you enable this option, NinjaOne will email the organization with the login URL and reset password link. This checkbox is configurable. To hide it, navigate to the Notification Settings menu. This option is located on the first row in the User Management Notification section.
Organizations created in the NinjaOne SaaS Backup partner portal are not automatically added in the NinjaOne application itself. For information on adding NinjaOne SaaS Backup organizations to the NinjaOne application so that they can be monitored and managed directly in NinjaOne, refer to NinjaOne Backup: Linking SaaS Backups to a NinjaOne Organization.

Suspend an Organization

Suspending an organization stops all backups but keeps the organization active. NinjaOne SaaS Backup will continue to bill the organization and retain any previously backed-up data. However, no further active backups will occur, and end-users will not be able to access their backups until you reactivate the organization.

To suspend an organization, follow these steps:

  1. Navigate to the Organizations page.
  2. Click any area of the organization listing or click the three dots at the end of the organization listing, then click View Details.
  3. Open the Subscriptions tab.
  4. Click the Suspend button.
  5. Click Yes, Continue in the confirmation modal.
    The system will display an alert:
    • A success alert if the process was successful.
    • An error alert is displayed if the system detects a problem.

Unsubscribe an Organization

Unsubscribing an organization will immediately stop all active backups. The organization will then be in an unsubscribed state for 45 days, allowing you to change your mind. After this time, the system will stop billing and delete the data.

You can use the Reactivate button to reactivate the organization and resume the backup process within that 45-day window.

Unless reactivated within the 45-day window, NinjaOne SaaS Backup will permanently delete all backup data. This data will not be recoverable.

To unsubscribe from an organization, follow these steps:

  1. Navigate to the Organizations page.
  2. Click any area of the organization listing or click the action menu (three dots) at the end of the organization listing, then click View Details.
  3. Open the Subscriptions tab.
  4. Click Unsubscribe.
  5. Click Yes, Continue in the confirmation dialog box.
    The system will display an alert:
    • A success alert if the process was successful.
    • An error alert is displayed if the system detects a problem.

Delete an Organization

When you delete an organization, all backed-up data is purged and cannot be recovered, and billing is stopped. Deleting an organization will immediately cease all backups and delete the stored data on our side. Billing will still occur for the month the organization was active, but will terminate after that.

When you delete an organization, all backup data is permanently deleted and cannot be recovered.

To delete an organization, follow these steps:

  1. Navigate to the Organizations page.
  2. Click any area of the organization listing or click the action menu (three dots) at the end of the organization listing, then click View Details.
  3. Open the Subscriptions tab.
  4. Click the Delete button.
  5. Click Yes, Continue in the confirmation modal.
    The system will display an alert:
    • A success alert if the process was successful.
    • An error alert is displayed if the system detects a problem.

Transfer an Organization

An organization owner or full administrator can transfer an organization from one partner to another. Follow these steps to transfer an organization:

  1. Share your Partner ID with your user (Partner Portal Top Right Corner Arrow Partner ID).
  2. Ask the user to click the menu on the top right of the page.
  3. Click Account Settings.
  4. On the Personal Details tab, input the Partner ID.
  5. Inform NinjaOne Support so we can process the transfer on the cut-off date after validation.
Important Note: If your partner account is with a distributor, your distributor may have revoked this ability. If you are unable to transfer an organization, reach out to your distributor or NinjaOne Support to submit a transfer request.
