NinjaOne SaaS Backup: Backing up Microsoft Office and Google Workspace

This article discusses how to back up Microsoft Office and Google Workspace with NinjaOne Backup. 

Important Note: The IPF.IMAP folder type is not supported for backup. Therefore, the only folder eligible for backup is the archive folder, as it has a valid folder class (IPF.Note).

To clarify, IPF.IMAP represents folders created or managed via IMAP synchronization. These folders are typically generated by email clients like Outlook when connecting with IMAP credentials.

NinjaOne SaaS Backup is a cloud backup platform that helps businesses securely back up, manage, recover, and protect their business information. The automated and incremental backups simplify the backup, recovery, and compliance experience. It works with Microsoft 365 (Hosted Exchange, Groups, Teams, SharePoint, and OneDrive), Gmail (including Calendars, Contacts, and Tasks), and other IMAP email servers. NinjaOne uses 256-bit (AES) encryption at rest and in transit, supporting multifactor authentication (MFA).

Backup Frequency

The system automatically schedules subsequent Backups as per the “Last Backup (Completed Time).”

Example: If a SharePoint Site Backup is completed at 8 A.M., the next subsequent Backup is automatically scheduled for 4 P.M.

The registered Active Directory (AD) Group’s Members are validated every 12 hours (Schedule Time, 2 A.M. and 2 P.M. UTC Daily). The specific time is configured across all Regions. Therefore, all Organizations will follow the same scheduled time. It is not customizable for Organizations.

With a Shared Drive backup, if the scan shows an empty drive, it will not check again for one week. If a scan finds new items, it will proceed with a regular schedule.

Note that if a scan detects a user/drive/team as empty, it will not follow this schedule. Instead, NinjaOne will check periodically to see if any data has been added and will proceed with backups once we find data. The frequency of these checks varies by data type and can be between 3 days and 7 days. If new data is added to a previously empty user, it might take up to a week before we detect that new data and start backing it up. However, once the backups have begun, the backup will follow the above schedule.

Billing Options

Monthly Billing

The invoice is generated based on the highest number of purchased seats under a subscription in the entire month.

Prorated Billing

The invoice is generated based on the number of seats on each day of the month.

Example: a customer has 10 seats between the 1st and 10th day of a month, 5 seats between the 11th and 20th day, and 15 seats between the 21st and 30th day. In this scenario, the invoice is 10 seats for 10 days, 5 seats for 10 days, and 15 seats for 10 days.

Backup Only

Backup Only is the most preferred solution for small and medium-sized business users. Pricing is based on the number of mailboxes and includes unlimited storage and retention. Features include user access control management, file/attachment manager, advanced search, and advanced reporting via insights. Insights and relationships give a summary report of all emails in and out of an organization. Restore, download, or migrate the entire mailbox or just one email with the click of a button.
