Challenge
High complexity without centralized control
The IT landscape is complex: decentralized school locations, heterogeneous hardware environments with Windows servers and Linux systems, laptops, iPads, and digital whiteboards, combined with increasing cybersecurity and data protection requirements. Decisions are evaluated not only from a technical standpoint, but also politically and financially. Downtime is not an option, especially in schools.
Before implementing NinjaOne, the IT department operated without a centralized platform and relied heavily on time-consuming manual processes and fragmented tools. Technicians deployed updates in person via USB drives. Larger maintenance tasks had to be performed outside school hours, resulting in overtime in the evenings and on weekends.
Ticketing was unstructured and error-prone. Requests were incomplete or lost altogether. The team operated in constant firefighting mode, leaving little to no time for strategic initiatives.
The District Office needed a solution that met three criteria: data protection compliance, financial sustainability, and long- term scalability. They decided to make the move to NinjaOne.
Solution: Why the Regensburg District Office Chose NinjaOne
Goodbye USB, hello unified IT
With NinjaOne, the team gained a unified platform for endpoint management, autonomous patch management, remote access, and ticketing. “NinjaOne is our Swiss Army knife for IT. We don’t need five different tools anymore. Everything is in one platform,” says Schmidt.
Features that drive compliance, no added costs
Data protection is non-negotiable in the public sector. “Many products are ruled out for us because they don’t meet our data protection requirements,” Schmidt explains.
NinjaOne met those requirements directly. The platform’s built-in controls, including multi-factor authentication, role-based access, and comprehensive audit logging, support continuous compliance with GDPR, NIS2, and ISO 27001. Automated patching through NinjaOne
Autonomous Patch Management closes vulnerabilities before they can be exploited, while NinjaOne Remote gives technicians instant, encrypted access for fast remediation. Endpoint protection via an integrated Bitdefender deployment and centralized support management through NinjaOne Ticketing completes the picture, all from a single platform.
Financial viability reinforced the decision. Cloud-native by design, NinjaOne required no additional server infrastructure and delivered predictable, consolidated costs. “NinjaOne’s all-in-one package is perfect from both a financial and functional perspective,” says Schmidt.
Results & Outcomes
The team noticed immediate efficiency gains in patch management. Previously, maintaining a server cluster at a single location took at least four hours. Today, automation has reduced manual effort to nearly zero. “Without NinjaOne’s automations, we would probably have to double our team,” says Schmidt.
Beyond time savings, this means predictable security, fewer errors, and stable processes across all locations.
Transforming ticket chaos into a well-structured service desk
The District Office’s service desk operations improved significantly after implementation of NinjaOne. The previous open-source system was unstable and accessible only via VPN. Today, tickets in NinjaOne are structured, prioritized, and remotely accessible.
The number of relevant requests dropped by more than 70 percent, while resolution speed improved significantly. “We handle tickets at least twice as fast with NinjaOne,” Schmidt explains. The browser-based platform requires no additional infrastructure and enables location-independent work.
Remote access within seconds
Before NinjaOne, the team used various remote solutions, including TeamViewer and VPN access. TeamViewer requires user interaction, which is impractical during classroom instruction. Today, access is centralized and directly available through the platform, from the office, home, or mobile. “I wouldn’t want to give it up,” Schmidt says about NinjaOne Remote. “I can connect from anywhere, and it’s faster than TeamViewer.” A server outage on the weekend no longer means overtime; technicians resolve issues quickly with a simple NinjaOne Remote login.
From manual IT, to modern, digital classrooms
The IT transformation for the District Office was strategic. “Two years ago, we were focused solely on making sure servers didn’t collapse,” Schmidt recalls. Today, he and his team are no longer reactive in their work. NinjaOne enables them to reduce manual IT work to a minimum. Automations and centralized visibility create the time and capacity they need for real digital transformation.
“This will be the first year where we can truly implement new digitalization projects every single month. We owe that to NinjaOne,” says Schmidt.
NinjaOne streamlines Regensburg District Office’s IT management and long-term planning, so they can focus on their core mission: equipping students with the skills they need to thrive in tomorrow’s workforce. With NinjaOne eradicating the need for manual IT work, Schmidt and his team can now focus on creating digital classrooms that transform schools into future-ready learning environments.
