Technical unreliability slows growth and efficiency
Stefan Eisele, Head of Managed Services and his team, oversee several thousand endpoints, primarily Windows notebooks and desktops, Windows and Linux servers, and macOS devices. As the customer base grew, their previous solution by Datto reached its limits. Patch management was unreliable, patch compliance was unsatisfactory, and it was becoming a risk. On top of that, data protection and insufficient support became concerns.
Lack of transparency, fluctuating patch quality, and increasing administrative effort directly impact margin, scalability, and customer trust. For Stefan Eisele and his team, it was clear: their existing solution could not ensure operational excellence or the desired growth. SanData therefore decided to start afresh with NinjaOne.

Today, NinjaOne is the operational foundation of managed services at SanData and delivers measurable improvements. Based on the NinjaOne agent, SanData has developed its own managed service product, the “Managed Modern Workplace,” including its own branding. “The NinjaOne agent is the foundation for all our client and operating system services and one of the central building blocks in our managed service portfolio. And it will remain that way for a long time to come,” says Mr. Eisele.
Thanks to the centralized platform and its automations, a single service desk employee now manages approximately 2,000 clients. Before NinjaOne, they required multiple technicians to manage the same number of clients. “NinjaOne has given our department, specifically the service desk, the ability to continue growing without having to invest in additional staff,” says Stefan Eisele.

Automations simplify operations
Through automated scripts, the team saves up to 80 percent of the time they used to spend on manual tasks. This massive increase in efficiency creates the necessary prerequisites that SanData needs to sustainably scale its customer base. “We are extremely satisfied with NinjaOne. Over the years, we have added managed service customers, including larger ones. Without a tool like NinjaOne, that wouldn’t have worked,” says Stefan Eisele.
It starts right away with the onboarding of new customers: From kick-off through tenant setup to the definition of patch and access policies, it typically takes only half a day. Agent distribution is automated via Intune or SCCM. Internally, NinjaOne is fully integrated into Windows Autopilot and security processes. “As soon as an employee puts a new device into operation, the first step is endpoint security, and the second step is the NinjaOne agent,” says Stefan Eisele.
Results & Outcomes
With the Windows 11 rollout, the team previously needed up to three hours per client. Today, migration is automated via policies and scripts. “It took me five minutes to create a policy. Now I just quickly check in the morning which clients were updated overnight. Instead of two hours per client, you now need five minutes for 100 clients. That level of time savings is incredible.”
Automated reports provide CIOs, IT managers, and executives with transparent evidence of security, compliance, and service quality. And they relieve SanData of this manual labour. “We also use NinjaOne reporting. Some customers receive monthly reports. With others, we conduct a service review meeting bi-annually,” says Stefan Eisele.
In addition to efficiency improvements, improved patch management and higher patch compliance are key benefits that the SanData group was able to achieve with NinjaOne. While the previous solution performed poorly here, patch compliance today is 90% across all customers.
