Challenge

Zero unified control

Filtration Group grew through acquisitions and spans 28 companies across a spectrum of IT integration: from fully autonomous infrastructure with their own Active Directory and Azure tenants, over fully integrated brands sharing corporate systems, to hybrid models. Managing that heterogeneity wasn’t possible with their previous solution, Microsoft Intune.

“Microsoft thinks centrally, but we need decentralized responsibility,” says André Scheu, regional IT manager EMEA. “We need to give local administrators rights to manage everything on-site. That just wasn’t possible with Intune.”

Intune’s single-tenant architecture meant devices in partially integrated companies fell outside the reach of corporate licenses. Local administrators lacked permission to manage endpoints across locations. Third-party patching and remote access each required separate tools and contracts which created manual overhead, reporting gaps, and compounding complexity with every acquisition.

Filtration Group needed a solution with true multi-tenancy, real-time endpoint visibility, built-in patching, and remote access. They found that with NinjaOne.

Solution: Why Filtration Group Chose NinjaOne

Quick deployment, immediate value

Parts of the Filtration Group already used NinjaOne, which gave Scheu and his team the confidence to move forward with their decision. “We heard nothing but good things from colleagues, especially the quick setup and quick wins. As a manufacturing company, we have complex requirements and high-quality standards, and NinjaOne won us over.”

Within two weeks, they set up policies and rolled out the NinjaOne agents. Scheu identified value immediately. Intune required heavy conceptual planning in advance to consider how authorization management and policy structure work within a disjointed environment. NinjaOne, however, simplifies that architecture with its unified platform. “With NinjaOne, policy management is easy. I adjust roles and units when operational changes demand it. This kind of flexibility is essential to our heterogeneous IT environment.”

Multi-tenancy at enterprise scale

Filtration Group’s move to NinjaOne was based on their need for multi-tenancy. Now, Scheu defines the permissions and roles each local administrator needs to manage the devices within their organization. If an administrator is responsible for a second organization, granting them access is straightforward: assign the role, and they can immediately manage all devices across both. “In NinjaOne, I set it up once, invest a little time, and it works just as well for the first administrator as it does for the tenth,” says Scheu. Endpoints across every entity are now visible and manageable from a single platform, without compromising the independence and particularity of individual companies.

Results & Outcomes

Replacing four tools with one

Before NinjaOne, Filtration Group’s IT team used several separate tools, including TeamViewer for remote access and Automox for patching. Each tool increased overhead and complexity. Today, the team uses NinjaOne for patch management, remote maintenance, local administrator management, device inventory, vulnerability management, and integrated BitLocker encryption key management, replacing four or more separate tools. “NinjaOne is like a Swiss Army knife. Our previous setup was separate tools that didn’t fit together,” says Scheu. Replacing four tools also reduces licensing costs: “For what we get with NinjaOne, the price is frankly a steal. Having everything in one administrative platform is worth it,” says Scheu.

Running actions in the background

Filtration Group’s IT team noticed immediate improvements in flexibility, control, and productivity. “We have been able to increase efficiency massively with NinjaOne,” continues Scheu. The differences show up in small things. Technicians now directly access a device, run a PowerShell script, or check services from NinjaOne without requiring third-party tools or an RDP session. “These quick wins make everyday IT life so much easier.”

Detecting vulnerabilities in real-time

In addition to the NinjaOne Tenable integration, Scheu and his team use NinjaOne Vulnerability Management. “The NinjaOne approach is groundbreaking,” he says. Traditional vulnerability management tools perform scans at fixed intervals. To obtain an up-to-date vulnerability profile, technicians must run ad hoc scans and wait for the platform to process them, resulting in a loss of valuable time.

NinjaOne Vulnerability Management automatically identifies vulnerabilities as soon as they are released. The data is correlated with AI to the correct endpoint, no matter if a device is online or offline. “With NinjaOne, I get immediate feedback. No waiting, no scanning cycle. The dependency on scheduled scans simply disappears.” This real-time assessment is an operational advantage for distributed environments like Filtration Group, particularly when responding to zero-day vulnerabilities that demand immediate action.

A partnership beyond the platform

Scheu values vendor relationships that overcome a transactional nature and become partnerships at eye-level: “My favorite thing about NinjaOne is its strong customer focus. As a customer, you are not just a consumer, but a partner.” He is an active contributor who works directly with product managers to shape the roadmap with features that matter. “NinjaOne’s community is great, whether it’s Discord, Dojo, or monthly office hours. You can ask questions, exchange knowledge, and implement it immediately. This level of transparency and helpfulness is unique.”

NinjaOne offers enormous advantages for corporate groups and can consolidate IT infrastructures extensively. Scheu appreciates that it makes his IT structure uniformly manageable, despite differing needs of organizations: “Thanks to NinjaOne, we centrally control our complex, distributed infrastructure, while still giving each location autonomy.
