When Carahsoft first adopted NinjaOne, the goal was a single platform to manage, patch, and remotely support a fast-growing fleet of endpoints. As an IT solutions provider for United States and Canada public sector organizations, Carahsoft operates under some of the strictest compliance standards in the industry, and consolidating tooling helped the team scale securely.

Carahsoft later looked to modernize protection of its Microsoft 365 environment, and extending the NinjaOne platform it already relied on was a natural next step. Carahsoft turned to NinjaOne SaaS Backup, and the results speak for themselves: One hundred percent of data is backed up continuously, hours of upkeep are eliminated every week, and the team has the confidence to recover from anything, even within strict public sector compliance frameworks.

Why Carahsoft extended a trusted platform to include backup

Before NinjaOne, Carahsoft relied on an on-premises backup solution for Microsoft 365 with a dedicated repository server to store backups. Backups were slow and ran the risk of breaking due to changes on the Microsoft side.

Anton Fadeev, systems engineer at Carahsoft, stated that the legacy approach was a poor fit for protecting cloud data, and that keeping it running smoothly took roughly six hours per week, plus about an hour of routine monitoring. Carahsoft set out to modernize with less manual upkeep, more streamlined operations, and fewer separate systems to maintain and secure.

Because Carahsoft already ran endpoint management, patching, and remote support on NinjaOne, expanding into SaaS Backup meant adding a capability to a platform the team knew and trusted, rather than introducing yet another standalone tool.

Backup built for public sector compliance

When evaluating alternatives, Carahsoft had a clear set of requirements: system reliability, flexible retention periods, and the option to purge sensitive data from backups, which was non-negotiable. As a company operating in the government sector, Carahsoft needed the ability to remove specific data without destroying an entire backup set.

NinjaOne SaaS Backup provided an opportunity to expand on a platform that they already used, ensuring a frictionless adoption. What stood out most to Fadeev was ease of use, continuous online backups, unlimited retention period, and cost savings. And because NinjaOne hosts storage, Carahsoft no longer needs to maintain its own backup infrastructure.

How NinjaOne simplified and automated backup

The NinjaOne SaaS Backup portal is clearly structured, with no need to set up multiple backup jobs or manage them individually. For a team accustomed to hands-on upkeep, the difference was immediate, and the weekly maintenance burden effectively disappeared.

Today, continuous backup has significantly increased Carahsoft’s confidence in retaining control over its cloud data. With all data getting backed up with very little management required, the team is now free to focus on higher-value work.

According to Michael Moore, CIO at Carahsoft, “Backups are one of the things that can cause you to lose sleep at night, right? For disaster recovery… knowing that we could withstand a disaster and recover from it gives me peace of mind and allows me to sleep a little easier.”

Protecting business-critical email data

Emails are a core business asset for Carahsoft. As a sales organization, there is a significant amount of value stored in their email environment, and protecting it matters. Moore states: “Email is integral to the way we do business. We’re a sales organization, so we have a lot of wealth in our property in there, so we want to protect it as well as we can. Having a quality and proven backup solution is important in that we can withstand disaster.”

With NinjaOne, that protection is now continuous, reliable, and verified, without the uncertainty and time investment that came with the old approach.

Protecting more users with the same team

Carahsoft’s IT team has not grown since switching to NinjaOne SaaS Backup, but it is protecting more users as the company continues to expand. Time once spent on backup upkeep now goes to strategic projects that move the business forward. This is the same leaner, more efficient scaling that Carahsoft has seen across its broader NinjaOne platform adoption.
