Established 179 years ago in the heart of Adelaide, Pulteney Grammar School is one of Australia’s oldest and most respected independent schools. Supporting approximately 260 staff and almost 900 students, the school relies heavily on technology to deliver modern learning experiences and maintain day-to-day operations across the campus.

Challenge

A large and mature environment

As the school’s technology environment evolved, the team identified opportunities to simplify management overhead, improve operational visibility, and modernise endpoint administration.

The school’s previous management platform was highly capable but relied on a significant on-premises infrastructure footprint and ongoing administrative maintenance.

“We had a large and mature environment; however, it carried a considerable operational overhead that no longer aligned with the direction we wanted to take as a lean IT team,” Andrew explained.

Routine processes such as software deployment, patch validation, and device lifecycle management often required substantial manual effort. At the same time, the team wanted more immediate visibility across devices and stronger integration between endpoint management and their broader cybersecurity ecosystem.

“We wanted clearer real-time visibility across the environment without relying on complex legacy infrastructure,” Andrew said. “For us, it was about simplifying operations while improving consistency and control.”

The school also wanted a more streamlined way to deploy and maintain security tooling across endpoints, ensuring greater visibility and responsiveness without increasing administrative burden.

“We no longer have a multi-terabyte management environment that requires constant maintenance, backup, and oversight,” Andrew explained. “That reduction in infrastructure overhead has been a significant operational improvement for the team.”

For Pulteney Grammar School, one of the most immediate benefits was the reduction in manual administration associated with endpoint management and device provisioning.

A major improvement came through managing the school’s fleet of loan and redeployed student devices.

“Every time a loan device comes back, it gets rebuilt,” Andrew explained. “Previously, the process was far more manual and time intensive. Now we can trigger the reset, have the device automatically re-enrol into NinjaOne, and redeploy the required applications with minimal intervention.”

During peak operational periods, such as the beginning of the academic year when large numbers of devices are refreshed, the efficiency gains become substantial.

“At the start of the year, it probably saves us between 100 and 150 hours,” Andrew said. “On an ongoing basis, we’re likely saving somewhere between 10 and 15 hours per week across routine operational tasks.”

The reduction in repetitive administrative effort has allowed the team to focus more time on strategic initiatives, support delivery, and broader technology improvements across the school.

More consistent and predictable patch management

The implementation of centralised patch management has also improved operational consistency and visibility.

“The previous approach relied much more heavily on manual validation and oversight,” Andrew said. “Now we have clearly defined policies, scheduled deployments, and visibility into the entire process.”

Patch deployment and update management are now planned and standardised, reducing administrative complexity while improving compliance and predictability.

“What we have now is a far more streamlined and controlled process. It gives us confidence that devices are being maintained consistently across the environment.”

Improved endpoint visibility and security responsiveness

NinjaOne has also strengthened the team’s ability to respond quickly to security events and device-related issues, including for off-site systems.

“With previous tools, remote management capabilities were much more dependent on devices being connected internally,” Andrew explained. “Now we have the ability to apply containment and access control actions remotely where required.”

The platform’s integration capabilities also allow operational and security data to feed into the school’s broader cybersecurity ecosystem, improving visibility and supporting faster investigation and response workflows.

“It’s very easy to pull relevant information from NinjaOne, and that visibility plays an important role in supporting our overall cybersecurity posture.”

For a small team supporting staff and students across the school, remote support capabilities have become increasingly important.

“NinjaOne Remote has made remote support significantly more straightforward,” Andrew said. “Whether staff are working remotely or we need to assist quickly across campus, the ability to connect securely and immediately resolve issues has been extremely valuable.”

The simplicity of the platform has also reduced operational friction for the IT team.

“We don’t want to spend time navigating complexity. We want information quickly and clearly so we can focus on delivering outcomes.”
